The Fee Collection Problem

Every school admin knows the pain: the queue at the accounts window, parents forgetting due dates, staff manually entering payments into registers. Fee collection should not take this much effort.

1. Move to Online Payments

UPI, net banking, and card payments mean parents can pay at midnight from their phones. No queue, no cash handling, no reconciliation errors. Set up a payment link and share it on WhatsApp.

2. Automate Fee Reminders

Send WhatsApp or SMS reminders 7 days before the due date, 2 days before, and on the day itself. Most late payments happen not because parents cannot pay but because they forgot.

3. Create a Fee Calendar

Share the full year's fee schedule in April. Parents who know every due date in advance plan better and default less. A single PDF on the school WhatsApp group works.

4. Accept Partial Payments

Strict full payment only policies push parents into default. Accepting partial payments with a small penalty keeps cash flowing and reduces bad debt.

5. Give Instant Digital Receipts

Emailing or WhatsApp-ing a PDF receipt the moment payment is recorded eliminates disputes and builds parent trust.

The Result

Schools that implement all five typically see overdue invoices drop by 60 percent within two months.
