The Situation Before BatchBoard

Sunrise IIT Coaching, South Delhi, had 380 students enrolled. Their fee collection process involved three admin staff members spending two full days at the start of every month manually entering fee payments and generating receipts by hand. Late payers required 60 to 80 individual phone calls per month.

What Changed with BatchBoard

BatchBoard was deployed in March 2023. Student data was imported via CSV in 4 hours. Fee structures were configured in 2 hours. From April onwards, fee invoices were generated automatically and reminders were sent via WhatsApp with a payment link.

The Results at 3 Months

Fee collection time dropped from 80 hours to 24 hours per month, a 70 percent reduction. Admin staff required for the fee process dropped from 3 to 1. Overdue calls dropped from 75 per month to 12 per month. UPI payment adoption reached 78 percent of parents by month 3.

The WhatsApp payment link changed everything. Parents who previously forgot to bring cash now paid sitting in their car because the link was right there. First-week collection rate went from 45 percent to 72 percent.
