Fee Receipt Best Practices for Indian Schools

A proper fee receipt does more than acknowledge payment. It protects the school legally and builds parent trust.

Why Receipts Matter

A receipt is a legal document. In any fee dispute, the receipt is the primary evidence of what was paid, when, and for what.

Mandatory Fields

Every fee receipt must contain: school name and address, receipt number that is unique and sequential, date of payment, student name and class, enrollment number, amount in figures and words, payment mode, and the fee head paid against.

Sequential Receipt Numbers

Never reuse receipt numbers. A gap in receipt number sequence is a red flag in any audit.

Instant Digital Receipts

PDF receipts sent via WhatsApp or email are faster, cheaper, and cannot be lost. The school retains a digital copy automatically.

Year-End Receipt Summary

Give every parent a full-year fee payment summary in March or April. This is useful for their income tax documentation and builds significant goodwill.
